Privacy Policy
How Sirano GTA Limo collects, uses and protects your personal information under Canadian privacy law (PIPEDA).
Last updated:
Sirano GTA Limo ("we", "us", "our") respects your privacy. This policy explains what personal information we collect when you visit our website or book a ride, why we collect it, who we share it with, and the choices you have. We handle personal information in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
1. Information we collect
We collect only what we need to arrange and provide your ride:
- Contact details: your name, phone number, WhatsApp number and email address.
- Trip details: pickup and drop-off addresses, dates and times, flight numbers, number of passengers and bags, vehicle preferences, and any special requests.
- Passenger details you choose to share: names of other passengers, child seat needs (children's ages and weights), and any accessibility or mobility needs.
- Payment details: when you pay by card, the payment is handled by our payment terminal or processing provider. We do not keep full card numbers. We keep receipts and invoices.
- Messages: the content of WhatsApp, text, email and phone conversations with our team about your booking.
- Corporate account details: for business clients, the company name, billing contact and the employees who travel on the account.
Website: our website is a static information site. It does not use cookies, analytics or advertising trackers, and it has no forms or accounts. Like any website, our hosting provider may keep standard server logs (such as IP address, browser type and the pages requested) for security and to keep the site running. These logs are not used to identify you.
2. How we use your information
We use personal information only to:
- Quote, confirm, schedule and carry out your bookings;
- Contact you about your trip, including flight delays, pickup instructions and changes;
- Process payments and send receipts or invoices;
- Provide child seats and accessibility support when requested;
- Respond to questions, complaints and lost-property enquiries;
- Improve our service, train our team, and keep passengers and chauffeurs safe; and
- Meet our legal, tax, insurance and regulatory obligations.
We never sell or rent your personal information.
3. Consent
When you contact us to book a ride, you consent to us using your information for the purposes above. You can withdraw your consent at any time, but we may not be able to provide the service without the information we need, for example a pickup address.
4. Who we share information with
We share information only with the people and services needed to deliver your ride:
- Your chauffeur receives your name, phone number, pickup and drop-off details, flight number and any special requests. You receive your chauffeur's name, vehicle and contact details.
- Partner operators: if a licensed partner operator carries out your trip at a busy time, it receives only the details needed for that trip.
- Service providers: messaging (WhatsApp, operated by Meta), email, payment processing, accounting, hosting and IT providers. Each one is required to protect your information and use it only to provide its service to us.
- Corporate accounts: if your trip is booked or billed through your employer, the account holder can see the trip details and charges.
- When required by law: for example, in response to a court order, or to protect the safety of a person.
5. Storage outside Canada
Some of our service providers, including WhatsApp, email and cloud hosting, may store or process information outside Canada, for example in the United States. That information is protected by those providers' security measures and may be subject to the laws of those countries, including access by their authorities.
6. Marketing messages
We only message you about your bookings. We will send promotional messages (such as special offers) only if you opt in, as required by Canada's Anti-Spam Legislation (CASL). You can unsubscribe at any time by replying "STOP" or contacting us.
7. Calls, location and in-vehicle cameras
Phone calls are not recorded. Our vehicles use GPS for dispatch and safety, and trip locations are kept as part of the booking record. Our vehicles do not have cameras.
8. Minors
We do not knowingly collect personal information directly from children. For prom, graduation and school bookings, passenger details are provided by a parent, guardian or the organiser, who confirms they have permission to share them.
9. How long we keep information
- Booking, payment and invoice records: 7 years, to meet Canada Revenue Agency requirements.
- WhatsApp, text and email conversations: 24 months after your last trip, unless they're needed for a complaint, claim or legal reason.
- Child seat and accessibility details: kept with the booking record, and used only to plan your trips.
After these periods, we securely delete or anonymise the information.
10. Security
We use reasonable administrative, technical and physical safeguards to protect your information. These include restricting access to staff who need it, protecting devices with passwords, and only working with reputable service providers. Please don't send full card numbers or other sensitive information through WhatsApp or email.
11. Data breaches
If a privacy breach creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada as required by PIPEDA, and keep a record of the breach.
12. Your rights
You may:
- Ask what personal information we hold about you, and for a copy;
- Ask us to correct information that is inaccurate or incomplete;
- Withdraw your consent, or ask us to delete information we no longer need (subject to legal requirements such as tax record-keeping).
We will reply within 30 days. To protect your privacy, we may ask you to confirm your identity first.
